White Rose Libraries is overseen by the Directors Group, comprising the library services Director and one senior manager from each of the three universities. This group meets termly and is responsible for:

  • providing a strategic steer for the partnership
  • making major strategic decisions about the development of services
  • monitoring value for money

Operational oversight is the responsibility of the Service Development Group (SDG), comprised of two senior managers from each library. This group meets more regularly and is responsible for:

  • providing operational oversight for White Rose Libraries activities
  • setting the priorities of the executive manager
  • reviewing service proposals
  • passing recommendations on development projects to the directors as appropriate.

Reporting to the Service Development Group are a number of Strategic Theme Subgroups, which investigate and coordinate planning around five key areas of collaboration:

  • scholarly communication and research data
  • continuing professional development for library staff
  • collaborative collection management
  • customer services and user experience
  • repository software and development

The subgroups meet at different frequencies, according to need, but are an effective way of bringing together key stakeholders within a coordinated White Rose framework. The subgroups are tasked with developing roadmaps for their areas, and identifying potential collaborative activity that can add value to the partners in these key strategic areas.

The White Rose Libraries Office is a small team of dedicated staff, based at York, which works with the Directors and SDG to deliver the White Rose Libraries’ operational and strategic goals. The Office’s role is to:

  • Facilitate and support collaborative activities that could benefit the three libraries, across all aspects of library services
  • Manage collaborative projects
  • Identify potential new services and initiatives

In that capacity the Office works with a wide range of staff, meeting with colleagues in different parts of the libraries across the consortium, and in a variety of roles; encouraging collaborative activities, and working with staff to identify and deliver partnership working that benefits all three sites.
